About Heidelberg Fine Art

Heidelberg Fine Art Wholesalers is a wholesaler and retailer of high quality art products and paper. The business was founded over 30 years ago by specialising in print making products. This niche is still the core business but over time the business has expanded into importing exclusive paints, brushes and canvasses from France, the UK, Germany, and the USA. In addition to these paint and print making products they also import and distribute fine art papers from around the world.

Business Challenges & Needs

For many years the business operated on QuickBooks with an array of spreadsheets to meet other business needs. The product lines continued to grow and the business was trying to manage over 8,000 product lines across three locations. Stock ordering was difficult, as was the control of stock from the warehouse storage facility to the retail and dispatch locations.

In addition to stock control, a significant amount of revenue was earned from products that were purchased in one size, cut down into smaller pieces and sold. This was difficult to track with the existing system and the ability for our existing system to go into negative stock values stock values throwing out inventory levels and average costs on our inventory. To remove these negative values manual stock adjustments were being made at the end of each month that were time consuming. The business also had strategic plans to operate out of additional locations as well as increase online sales capabilities through an integrated e-commerce solution.

With Fishbowl all goods must now be properly receipted before they can be sold providing better stock reporting and accurate margin reporting.

The Solution

The business was already part way through the implementation of another system that was to replace QuickBooks when they were made aware of Fishbowl’s release in Australia. With the business already operating on QuickBooks and various concerns they had identified with the system they had begun implementing a decision was made to halt the existing implementation and move forward with Fishbowl.

The Results

The initial impact that was noticed within the business was the enforcement of proper stock control procedures. In the past the systems that were in place were loose, making them easy to use but impossible to maintain accurate stock control.

The sale of products with differing units of measure can now be accurately traced and pricing rules across multiple customer and product groups can be configured across the business ensuring that customers are charged correctly. The pricing rules in Fishbowl have also enabled date driven pricing that we can utilise for specials.

e-Commerce integration is also being implemented with a new front end website being built. With the Web Ninja CMS fr the website, the seamless integration with Fishbowl means that we can constantly display current stock levels on our site from the Fishbowl database, have online orders appear directly into Fishbowl ready for fulfillment and enable us to keep all of our inventory records in the Fishbowl database rather than trying to maintain a secondary database for our website.
